EZ Web Streams (“the Service”) is operated by AI Canadian Solutions (“AICS”, “we”, “us”), based in Ontario, Canada. This policy explains what information we collect, why, and the choices you have. Questions? Email support@aicanadiansolutions.ca.
1. Our hybrid model: on-device vs. cloud
EZ Web Streams is designed to be private by default. Basic screen and webcam recording, and the built-in editing (trim, split, layers, fades, blur, clean-up), happen entirely on your device, inside your browser. That media is not uploaded to us. If you use the Service without an account, your recordings and edits stay on your device only.
Some features are cloud-based and do send data off your device — for example saving projects to your account, creating share links, AI clean-up, and publishing to YouTube. We describe each of these below. You control when they run: nothing leaves your device until you choose a cloud feature.
2. What we collect
Account information
To provide accounts we collect your email address and issue authentication tokens (used to keep you signed in). We sign you in with a one-time email link, so we do not store a password.
Cloud storage (signed-in users)
When you are signed in and use cloud features, your recordings, imported media (images, audio, video) and saved projects are uploaded to and stored in Amazon S3 in the ca-central-1 (Canada) region, inside a per-user folder. These files are private; they are served to you through short-lived, presigned URLs rather than being publicly listed. Anonymous (not signed-in) users’ recordings and edits are never uploaded.
Payments
Pro subscriptions are processed by Stripe. We do not receive or store your full card number — Stripe handles card data directly. We store your subscription status (e.g. whether your account is Free, on trial, or Pro) and related identifiers needed to manage billing.
Optional AI features
These only run when you choose to use them:
- “Polish” / clean-up: your recording’s audio is sent to OpenAI (Whisper) for transcription and filler-word/pause detection.
- AI metadata / assist: uses OpenAI to help generate text such as titles or summaries.
- YouTube publishing: uses Google / YouTube OAuth to upload a video that you explicitly choose to publish to your own YouTube account.
Live sessions & guests
When a host invites guests, each guest’s camera, microphone and — if they choose to present — screen stream peer-to-peer to the host over WebRTC, encrypted in transit. When a direct connection cannot be established, that encrypted media is relayed through a TURN server we operate; the relay passes the stream through and does not record or store it. Guest media is not stored on our servers — if the host records the session, the recording is produced on the host’s device.
Before joining, a guest enters a display name and, optionally, a display title and email address. The name and title are shown to the host and may be displayed on screen as a lower-third, which means they can appear in the host’s recording. A guest can also join with microphone only and no camera.
If a guest uses a blurred or replaced background, any image they choose stays on that guest’s own device and is not uploaded to us.
Live captions & transcripts
The live transcript is produced by your browser’s own speech-recognition feature (the Web Speech API), which is provided by your browser rather than by us. In Chrome and Edge this means your audio is sent to Google’s speech servers to be recognised, under Google’s terms — it does not pass through our servers, and we do not receive that audio. If you would prefer that no audio leaves your device this way, leave the live transcript switched off.
Each person in a session is captioned by their own browser, and the words they contribute are sent to the host over the same encrypted peer-to-peer channel as their video. The host can share that live transcript with everyone in the session, so guests may see what other guests said. The finished transcript is assembled on the host’s device and saved there as a PDF alongside the recording. We do not receive or store it unless the host uses an optional AI feature on it, or saves it as an Ideation.
Ideations (Ideate sessions)
An Ideation is a text transcript of a conversation, captured without any video, screen or audio file. It is produced by your browser and kept in your browser — we do not receive it, and we cannot read it.
It reaches our servers only if you press “Save to my account” for that specific ideation. Nothing about finishing a conversation uploads it. When you do save one, we store the transcript text, the speaker names shown in it, its length and the time it was captured, against your account, so you can open it from another browser. You can delete the copy in your account and the copy on your device separately, from My Ideations.
Ideations kept only on your device are removed if you clear your browser data, and we cannot recover them, because we never had them.
Scheduled sessions & invitations
When you schedule a session and invite people, you give us information about other people: each guest’s name and email address. We store that against your account so the session appears in your Scheduled Sessions list, and we pass it to our email provider so the invitation can be delivered. We also record the session’s title, time, length and any note you add, and the room code the invitation points to.
The invitation email contains your display name, the session title, the time and the join link, plus a calendar attachment carrying the same details. A copy is sent to your own account email address. You are responsible for having a basis to email the people you name — the form asks you to confirm they are expecting to hear from you, and that confirmation is yours to make truthfully.
After a session runs, we record what happened: when it started and ended, the display names of guests who actually joined, and the file name of the recording along with whether it was downloaded to your device or kept in your cloud storage. That history is visible only to you, and you can ask us to delete it.
Session names
The name you give a session is shown to your guests on their own screen, appears in the subject line of any invitation you send, and is used to name the video file and transcript you download. Choose it with that in mind.
Local files you link to
The editor can work with video and audio that stays on your own disk instead of being uploaded. When it does, we save a reference to the file — the folder’s display name plus the file’s relative path and name — so your project can find it again later. For signed-in users those references are saved alongside the project on our servers. The contents of those files are not uploaded; only the names and paths needed to relink them. Your browser controls this access, and you can revoke it at any time.
EZ Render Agent (optional desktop app)
The optional render agent is a small program you install on your own computer to export video faster than
the browser can. It runs only on your machine, on a local-only address
(127.0.0.1), and your browser talks to it directly. Your footage is handed to it locally and is
not uploaded to us for rendering. Access is protected by a token stored on your computer.
Local storage on your device
We use your browser’s localStorage to keep your authentication token and remember your preferences (such as camera positions and settings). This stays in your browser.
Recording held in your browser
While you are recording, your browser also writes the recording to its own local database (IndexedDB) as it is captured, a few seconds at a time. This exists so that a recording interrupted by a crash, a closed tab or a power cut can be offered back to you the next time you open the studio — without it, an unfinished recording is lost.
This footage stays on your device. It is never uploaded to us as part of this safeguard, and we cannot read it. It is cleared automatically once you save or download that recording, when you discard it, and whenever a new recording begins. Clearing your browser’s site data removes it too.
Browser notifications
If you join a session as a guest and ask to share your screen, your browser may ask whether EZ Web Streams may show you notifications. This is used for one thing: telling you the host’s answer if it arrives while you are looking at another tab or application. Declining changes nothing else — you will simply see the answer when you return to the session. We do not use notifications for marketing.
Technical data
Like most websites, our servers may process basic technical information (such as IP address and request logs) as needed to deliver the Service and keep it secure. We do not use these to build advertising profiles.
3. How we use your information
- To provide and operate the Service (accounts, sign-in, cloud storage, sharing).
- To process payments and manage Pro subscriptions.
- To run the optional AI, publishing and live features you request.
- To keep the Service secure, prevent abuse, and troubleshoot problems.
- To respond to your support requests.
We do not sell your personal information.
4. Legal bases
Where applicable law (such as Canadian privacy law or the GDPR) requires a legal basis, we rely on: performance of our contract with you (to provide the Service you sign up for); your consent (for optional features such as AI processing and YouTube publishing, and for any recording you initiate); our legitimate interests (to secure and improve the Service); and legal obligations (such as tax and accounting records for payments).
5. Sub-processors
We share limited data with trusted service providers only to deliver the features above:
- Amazon Web Services (AWS S3, ca-central-1) — cloud file and project storage.
- Stripe — payment processing and subscription billing.
- SendGrid (Twilio) — sending email on our behalf: sign-in links, account notices, and the session invitations you choose to send. Invitation emails include the recipient names and addresses you entered.
- OpenAI — audio transcription and AI text assistance (only when you use those features).
- Google — speech recognition for live captions when you use Chrome or Edge (your browser sends that audio, not us), and publishing videos you choose to upload to your own YouTube account.
- TURN relay (operated by us) — passes encrypted live-session media through when a direct peer-to-peer connection cannot be established. It does not store media.
Each provider processes data under its own terms and privacy policy.
6. International transfers
Your cloud files are stored in Canada (AWS ca-central-1). However, some sub-processors (for example Stripe, OpenAI and Google) are based in the United States or operate globally, so certain data may be processed outside Canada. Where required, we rely on appropriate safeguards for such transfers.
7. Data retention
We keep account information and cloud-stored content for as long as your account is active or as needed to provide the Service. When you delete a recording or project, we remove it from active storage. When you close your account, we delete or de-identify your personal information within a reasonable period, except where we must retain limited records (for example billing records) to meet legal obligations. Data that stays on your own device is under your control.
Ideations you have saved to your account are kept until you delete them or close your account; ones kept only in your browser are outside our reach entirely. Scheduled sessions, including the guest names and addresses you entered and the record of what happened afterwards, are kept while your account is active so the history stays useful, and are deleted with your account. Signalling data for live sessions — the short-lived records that let a guest and a host find each other — is deleted automatically about an hour after it is created.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to withdraw consent for optional features. You can delete individual recordings and projects yourself, and you can revoke YouTube access from your Google account settings. To request access, export, or deletion of your account data, email support@aicanadiansolutions.ca from your account email address and we will respond within a reasonable time. 9. Recording consent — your responsibility
You are responsible for obtaining any consent required by law before recording other people, their voices, their screens, or their surroundings. Recording, wiretapping and privacy laws vary by country, province and state — in some places all parties must consent. EZ Web Streams is a tool; you are responsible for using it lawfully and for informing guests and participants that a session is being recorded.
To help you do that, the Service tells guests at the moment recording actually starts: a visible red REC indicator, an audible cue, and a one-time dialog that lets the guest continue or leave. Nothing is recorded until a host presses Record. These notices are a safeguard and a courtesy — they are not a substitute for any consent the law requires you to obtain.
10. Security
We protect data in transit with TLS/HTTPS, keep cloud files private with per-user storage and short-lived presigned URLs, and delegate card handling to Stripe. No method of transmission or storage is 100% secure, but we work to protect your information using reasonable technical and organizational measures.
11. Children
The Service is not directed to children under 13 (or under 16 where a higher age applies), and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, please contact us so we can remove it.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and significant changes may be communicated through the Service. Your continued use after an update means you accept the revised policy.
